Reservations made by phone or email are automatically marked as
“Agree to Policies.” A verbal or written confirmation serves as your signature and acceptance of all terms.
Key Information
- Check-in: 3:00 PM (Gift Shop Front Desk)
- Check-out: 11:00 AM (sharp)
- Early check-in may be requested, but is never guaranteed. Please plan accordingly.
- We are unable to accommodate a late check-out. No exceptions. Late check-outs may result in a fine.
- Re-entering a room after check-out is not permitted and may be considered trespassing.
For the safety of housekeeping and quality control, early check-in is never guaranteed.
Late check-out is not available for purchase. If you leave items behind, please contact the Gift Shop/Office.
Do not approach housekeeping. All concerns are handled by Lodge management only.
Check-In / Check-Out Procedures
- Check in at the Gift Shop Front Desk
- Do not park at your unit before checking in (unless arriving late)
- Late arrivals: instructions will be in the black “Late Guest Check-In” mailbox
- Return keys to the front desk or gray lockbox if leaving early
- Vehicles must vacate parking spaces upon check-out
Payments & Deposits
- Reservations 14 days or less before arrival: paid in full
- Reservations 15+ days prior: 50% deposit collected
- Remaining balance charged 14 days before arrival
- Deposits are non-refundable
- A valid credit card must be on file at all times
Cancellations & Changes
- Deposits are non-refundable
- Cancel 14+ days prior: eligible for credit voucher (valid up to 3 years)
- Changes must be made at least 14 days prior to check-in
- Changes within 14 days may result in partial loss of deposit
Policies
- No Smoking: Smoking, vaping, or drug use is strictly prohibited. Minimum $250 fine for violations.
- No Pets: Only ADA-compliant service animals are permitted.
- Registered Guests Only: All occupants must be listed on the reservation.
- Occupancy Limits: No extra beds, cots, air mattresses, or sleeping bags allowed.
Unregistered guests and pets are not allowed in rooms or cabin areas.
Visitors may meet in designated public areas only.
Children
- Children and infants count toward occupancy
- Guests under 18 must be accompanied by an adult
- Children 11+ may count as adults for occupancy limits
Damages & Fees
Guests are responsible for all damages. Policy violations or excessive cleaning may result in fines.
Biohazard, plumbing, stolen items or property damage may incur additional charges. No refunds will be issued if fines occur.
Accommodations
Cell Service & Wi-Fi:
Cell service is very limited in Madera Canyon. Wi-Fi is available in all rooms but may not support heavy usage.
Food & Supplies:
The Gift Shop offers snacks, coffee, and pastries only. No restaurants, gas stations, or grocery stores are located in Madera Canyon. We do not have ice.
Please plan accordingly before arrival.
Room Amenities:
Units include kitchenettes or full kitchens depending on type. Mini charcoal grills are available (guest supplies required; fire restrictions may apply).
Television:
Each unit includes a Roku TV. Guests may log into personal streaming accounts; automatic logout occurs on check-out date.
Parking
- Vehicles must vacate upon check-out
- Off-site Forest Service parking fees apply ($8 daily / $10 weekly)
- Annual passes available for purchase at the Gift Shop ($40)
Electric Vehicle Charging
Limited availability. Not all vehicles can be accommodated. Please contact the Lodge in advance.
Charging fee: $20 per night.
Additional Notes
- Travel insurance is strongly recommended
- 10% discount available for active military and emergency personnel
- Rates may change if reservations are modified or rebooked
- Policies are subject to change without notice
